Getting started

Sign in to your Webex account

  1. Go to your Webex site and click on Sign In. (Refer to your welcome email)
  2. Enter your username and your password, then click the Log in button.

Sign in to your Webex via Outlook

Alternatively, it's easy to sign in to your Webex site via Outlook.

  1. Go to the Outlook calendar.
  2. Click the arrow next to Schedule Meeting in the Home ribbon.
    (If 'Schedule Meeting' is not displayed, click Webex, then Schedule Meeting.)

    Tip: If you do not see the Webex Meetings add-in in your Outlook or Windows toolbar, you can download the software by following the instructions here.

  3. Choose More and click on Go to Webex Site.

  4. Your default browser will open to your Webex site where you will be logged in.

Log in to the Desktop App

  1. Open the Webex Meeting desktop app.

    Tip: If you do not see the Webex Meetings add-in in your Outlook or Windows toolbar, you can download the software by following the instructions here.

  2. Type the email address associated with your account and click Next.
  3. Select the radio button for your Webex site or enter a different URL if you wish to connect to a different Webex site and click Next.
  4. Type your Webex Meetings password.
  5. Tick the Remember email address and Keep me signed in checkboxes.
  6. Click the Sign In button.

Set your preferences

  1. Sign in to your Webex account.
  2. Click on Preferences.
  3. General: Set your Time zone, Language, and Locale (this will alter how dates and times display).
  4. Click My Personal Room to set preferences for meetings when you are using your Personal Room.
    • You can customise the name for your 'Personal Room Meeting' by typing a name next to Room name.

      Tip: Make sure the name of the meeting is broad enough for it to be relevant for all meetings.

    • Set your Alternate Host preferences: choose if you want to let others host your personal room when you are not there.
  5. Click Audio and Video
    • Click Add teleconference account, where you can add up to two call-in numbers and your Host and Attendee codes. These numbers will appear in the email invite sent to your attendees.
    • Enter your 'Call Me' numbers - your office and/or mobile numbers to allow Webex to call you back.
  6. Click Scheduling to set your scheduled meeting options. To give permission to another person to schedule meetings on your behalf, enter their email address under Scheduling permission.
  7. Click the Save button when you are done.

Setting a profile picture for Webex Meetings

When you join a Webex meeting, if you do not start your webcam, other participants will see your initials as a placeholder where your video should display. To make this more personable, instead of your initials you can add a picture of yourself.

To change your profile picture:

  1. Sign in to your Webex account.
  2. Mouse over the circle with your initials, then click Change.
  3. Click the Upload button to select a photo on your computer.
  4. Drag to reposition the photo to get the best view and click the Save button.

Next time you attend a meeting, if you do not start your webcam your photo will appear instead.
