  1. Before your first meeting

    Download and install the Dolby Voice plug-in

    To start or join a MeetMe with Dolby Voice meeting with a computer, users must install the Dolby Voice plug-in and configure their headsets. Once installed, the user will be able to join any MeetMe with Dolby Voice call and test their headsets at any time.

    Tip: Plug in your headset before starting. It will give your computer time to find your new device.

    1. Go to https://my.webjoin.com/dolby/download
    2. Follow the instructions to download and install the Dolby Voice plug-in
    3. Restart your browser
    4. Test your headset

      The following headsets have been tested by Dolby and approved to work optimally with the MeetMe with Dolby Voice plug-in:

      • Jabra®: BIZ 2400 Duo, Evolve 40 UC, UC Voice 750 Duo, UC Voice 550 Duo, BIZ 2300 Duo, BIZ 2400 II Duo, Evolve 30 Stereo, Evolve 80 Stereo
      • Logitech®: H570e, H650e, HD Webcam C310
      • Plantronics®: C320, C320M, C325, C325.1, C325M, C325M.1, C520, C520M, C720, C720M, C725M, Voyager Focus
      • Sennheiser®: SC 60, SC 60 USB CTRL, SC 260 USB, SC 260 USB CTRL, SC 260 USB CTRL II

      Other headsets may work, but are not supported.

    Troubleshooting: If you can download the Dolby Voice plug-in but not install it, contact your IT administrator and check that your computer is permitted to install software without an administrator login.

    1. In the app store, search for MeetMe with Dolby Voice or tap the relevant badge for your device:
      App Store

      Requires iOS v7 or later

      Play Store

      Requires Android v4.2 or later

    2. Launch your app and complete the first time setup
    3. If you have a MeetMe with Dolby Voice account, enter your chairperson account details. You can find your chairperson passcode in your new account email. Your associated email address is where you received your new account email.

  2. Inviting people to your meeting

    When scheduling meetings using Outlook (or another calendar application), include in your invitation: the MeetMe with Dolby Voice URL, country dial-in numbers, and participant passcode. Use the sample below as a guide.

    Sample invitation

    The following is an example. Replace the passcode and dial-in numbers with the information from your new account email.

    Copy and Paste this sample invitation into your meeting invite:

    If this is your first time joining, you may be prompted to download the MeetMe with Dolby Voice plug-in. Use a stereo headset for the best sound quality.

    IMPORTANT: The above template uses placeholders for the participant passcode, phone numbers and 'more country dial-in numbers' link. You should edit the information so that the meeting details match what was provided in your new account email:

    • Replace any passcode references with the participant passcode in your new account email.
    • Update the countries and phone numbers to match those behind the View more country dial-in numbers link in your new account email.
    • Update the View more country dial-in numbers link to match the link in your email.

    Tip: Make setting up meetings easier by creating a new email signature with your meeting details in it.

  3. Start or join your meeting

    Using a web broswer and the Dolby Voice plug-in

    To enjoy the full Dolby Voice experience in your meetings, connect to MeetMe with Dolby Voice using your computer and stereo headset. Non-stereo headsets will not provide the same quality of sound, but will still work.

    Tip: Check that your headset is plugged in before starting. It will give your computer time to find your new device.

    1. Go to https://my.webjoin.com/dolby/
    2. Provide your name, email address, and meeting passcode appropriate to your role (chairperson or participant)
    3. Click the Continue button. Please wait while your passcode is verified by our security system.
    4. Select the option "I will start the meeting using my computer"
    5. Click on the Start the Meeting button

    Troubleshooting: If you are having trouble connecting to a MeetMe with Dolby Voice meeting, it could be for the following reasons:

    • Your internet connection is not working. Please check your network connection.
    • You have entered an invalid passcode or email address. Please double check your information.

    Having the meeting call your phone

    Chairpersons and participants can join a MeetMe with Dolby Voice call using a phone; however they will not experience the same spatial sound and audio quality as those joining via the computer or smartphone app. This is a good option when your internet connection is unreliable or unavailable.

    1. Go to https://my.webjoin.com/dolby/
    2. Provide your name, email address, and meeting passcode appropriate to your role (chairperson or participant)
    3. Click the Continue button. Please wait while your passcode is verified by our security system.
    4. Select the option "I'd like the meeting to call me on my phone"
    5. Select your country
    6. Enter your phone number without leading zeroes, spaces or punctuation, for example 2034567890
    7. If you are on a desktop and want to see other participants in the meeting, select "Yes" to open the meeting viewer. (The meeting viewer is not available within smartphone browsers.)
    8. Click on the Call me now button
    9. Your phone will ring to connect you into the call
    10. Note: If you are a participant, your phone will ring after the chairperson has joined the call. Upon answering, you will be asked to press *1 on your phone to connect yourself to the meeting

    Dial into the meeting

    You can easily look up your country's local dial-in numbers available for this meeting. This is a good option when your internet connection is unreliable or unavailable.

    1. Go to https://my.webjoin.com/dolby/
    2. Provide your name and email address, and meeting passcode appropriate to your role (chairperson or participant)
    3. Click the Continue button
    4. Select the option "I'll dial into the meeting using my own phone"
    5. Select your country to display the available phone numbers
    6. If you are on a desktop and want to see other participants in the meeting, select "Yes" to open the meeting viewer.
    7. Dial a phone number from the list on the screen
    8. At the voice prompt, enter the passcode followed by #
    9. If you choose to open the meeting viewer, you will be prompted to enter an identity token on your phone. This helps the system to identify your line in the meeting viewer so you can use features such as mute and remove participant

    Using the smartphone app

    To enjoy the full Dolby Voice experience in your MeetMe with Dolby Voice meeting, download the app and use your earbuds.

    1. Choose a meeting

      1. Enter a passcode

        Type or copy and paste your meeting passcode from your meeting invitation, then tap "Continue". After entering a valid passcode, you will be given options to join the meeting.

        Tip: If you already have the app installed and tap the meeting URL, such as http://my.webjoin.com/?passcode=12345678, the app will launch and pre-populate the passcode so you won't have to re-enter it.

      2. Find a favorite

        If you have already saved a meeting as a favorite, tap on "Find a favorite", then select the name of the meeting you wish to join.

        Note: If you join a meeting using the app, you can save that meeting as a favorite. You can also add a favorite through the settings.

      3. Host my meeting

        This button will be enabled after saving your chairperson account details (passcode and email address) to the app.

        Note: You can add chairperson details through the settings if you do not add this information during first time set up.

    2. Choose a joining option

      1. I'll connect using the app

        Use this option to join your meeting over a Wi-Fi or mobile data connection.

      2. I'd like the meeting to call me

        Use this option to have the meeting call you on a phone using your phone network. Please note that you will not experience the same spatial sound and audio quality as those joining by the computer or using smartphone app. This is a good option when WiFi or mobile data is unreliable or unavailable.

        • Tap I'd like the meeting to call me
        • Select your country
        • Enter your phone number with no leading 0's or 1's, spaces or punctuation, for example 2034567890
        • Click on the Call me now button
        • Your phone will ring to connect you into the call
        • Note: If you are a participant, your phone will ring after the chairperson has joined the call. Upon answering, you will be asked to press *1 on your phone to connect yourself to the meeting
      3. I'll dial into the meeting

        Use this option if you want to dial into the meeting and choose a dial-in number using your phone network. Please note that you will not experience the same spatial sound and audio quality as those joining by the computer or using smartphone app. This is a good option when WiFi or mobile data is unreliable or unavailable.

        • Tap I'll dial into the meeting
        • Select your country to display the available phone numbers
        • Dial a phone number from the list on the screen
        • At the voice prompt, enter the passcode followed by #

    Using the web browser on your smartphone

    Use this option if your phone can't use the mobile app.

    1. Open the email invitation on your smartphone or go to https://my.webjoin.com/dolby/
    2. Provide your email address and meeting passcode appropriate to your role (chairperson or participant)
    3. Tap the Continue button
    4. Select how you wish to join the meeting then follow the prompts

    Dial-in to join the meeting as a participant

    1. Receive an invite to join a meeting
    2. At the start of the meeting, dial into the conference and follow the voice prompts:
      1. Enter the participant passcode (provided to you by the host in the invite), followed by #
      2. Record your name and press #

    Dial-in to host the meeting as a chairperson

    1. Invite the people you wish to meet with and provide the meeting date, time (including timezone), participant passcode, and dial-in numbers
    2. At the start of your meeting, dial into the conference, and follow the voice prompts:
      1. Enter your chairperson passcode, followed by #
      2. Record your name and press #

    †If you or your participants have difficulties connecting to an in-country dial-in number – or a number is not available for the country you are calling from – please try an alternative in-country number. These rare difficulties can be due to telephone network issues which are outside of our control.

    Touchtone commands

    Chairperson & participant commands
    Operator assistance: Connects you with a live conferencing operator
    Conference help menu: Lists all of the touchtone commands available to you
    Mute your line: Reduce background noise on the call if you are in a noisy environment; to unmute your line, press * 6 again
    Chairperson-only commands
    Play roll call: Plays back the recorded names of the participants on your call
    Participant count: Counts the number of participants on your call
    Stop message: Interrupts any audio prompt or recorded announcement
    Initiate dial-out facility*: Allows the chairperson to dial out to a new participant
    Mute/unmute all: Allows you to mute the lines of all participants. Use when making a presentation; to unmute all lines, press * 5 again. If individual participants need to unmute their own lines once all lines have been muted, they can press * 6 to do so.
    Mute your line: Reduce background noise on the call if you are in a noisy environment; to unmute your line, press * 6 again
    Lock/unlock your conference: To control your meeting and ensure no one else can enter you can lock your conference call; to unlock your line, press * 7 again
    Record start/stop*: Instantly record your MeetMe call and download the recording after your call to archive or save the recording for future use

    Conference continuation: Allows participants to remain in a conference once the chairperson hangs up
    End conference: At the end of your conference press # # and then hang up. This ensures that all participant lines are disconnected, preventing unexpected charges and enhancing the security of your account.
